SAP delivers authorization objects for Records and Case Management, which you can use to control access to records, cases, documents, and incoming mail items for individual organizational units in your organizational plan in conjunction with corresponding Customizing settings. SAP delivers predefined roles that contain clearly defined authorizations for the respective task areas of the employees. Among other things, these roles also contain the authorization objects for Records Management and Case Management. You can use the roles as a template for your own roles and adapt them to your requirements.

For users for which no user type has been defined in the ZBV, either the default user type of the subsidiary system or the user type defined by the local measurement programme (transaction USMM) run is reported in the Contractual User Type column. In this case, no value is reported in the Value column in the control centre. If the user type has been defined via a local run of the surveying programme and this type of user is not stored in the ZBV, you should re-import the licence data for this user from the subsidiary system into the ZBV using the transaction SCUG. If there are users in the daughter systems for which the value in the columns of the Contractual User Type and Value in ZBV Central differ, either the IDoc of the ZBV has not yet been processed, or the user type has been changed locally. In these cases, you should check what the differences are and also correct them.

As with an SAP_NEW role, it is possible to generate an SAP_APP role. As with the SAP_APP profile, all permissions are included here, except the base permissions and the HCM permissions. The ability to create this role with the report REGENERATE_SAP_APP exists after inserting the SAP note 1703299. This report generates a role that is fully usable for all applications. However, we recommend using this role only for development and test systems.

To help you better find your own tables in the future, check your development policy to see if the storage is adequately described. During go-live, the assignment of necessary authorizations is particularly time-critical. The "Shortcut for SAP systems" application provides functions for this purpose, so that the go-live does not get bogged down because of missing authorizations.
